What documentation is required for outsourcing cleaning services?

Hello,

 

 

We have outsourced facility cleaning services to a Contract Service Provider.They do full cleaning during night and leave before the plant is open.

We are going  to have SQF Audit soon.

Can anyone explain to me what kind of documentation is required for compliance with SQF Code?

Any kind of report of daily activities signed by them?

I have copy of the agreement,training records and their schedule for cleaning.

Kiran,

In order to comply with the SQF code, you would need the contract service provider to be approved under your service provider / supplier approval program. Ensure that the contract service provider has a training program in place ( cGMP's, Sanitation, Hazardous communication ( chemical safety) etc).

 

Employees or reps of the contracted service provider must sign off on forms indicating that the equipment and plant were cleaned whenever they clean. During pre-op, you would obviously need to do visual inspections (verification) and ATP swabbing ( if applicable) as a validation measure. In cases where the cleaning was not done well, you would need to document the corrective actions taken e.g re-cleaning, sanitizing and re-training.

If this outsourcing is relatively new it may be scrutinized by the auditor if you don't have very many records to demonstrate your due diligence in verifying the cleaning company follows the practices you require.
